Awaken Coach Institute Enrollment Agreement
This is your Participant Enrollment Agreement containing the policies and procedures governing your program, certification requirements, participation agreements and fees.
Please review this document carefully before signing. It contains important information about the policies of your program. By signing your Participant Enrollment Agreement you are agreeing to the policies upheld by Awaken Coach Institute, as outlined below.
Tuition
The All-in-One Coach Certification Program (CCP) includes 114 hours of Level 1 & Level 2 ICF-accredited training and certification, including 15.5 hours of mentor coaching, and an oral assessment. This offering provides all the training, mentoring, and assessment hours you need toward your ICF ACC credential, and can be applied toward your PCC.
The pricing for each course offering is listed on our website, and varies depending on the nature of the program, whether in-person or virtual.
Payment plans, scholarships, and early-bird discounts may apply.
Invoices
Invoices are automated from our learning platform upon purchase, and your receipt is also sent automatically. Any early application discounts, 3rd party payments or scholarship awards are applied at time of invoicing.
Deposit
The 20% deposit secures your spot. Deposits are non-refundable, but transferable to a future program. The deposit counts towards tuition due, which is paid on the first day of the course, unless otherwise agreed.
Payments
Awaken Coach Institute accepts credit card payments. For third-party sponsors, we can also send an invoice and receive wire or bank transfers upon request.
Program Completion Timeline
All missed classes and certification items are due within six months after classes end.
Missed classes: All missed classes must be made up within the time frame of your program.
Missed class: Watch the video recording and fill out the “Worksheet" plus the “Self-Study Quiz” provided to receive credit.
Missed supervised coaching or mentor coaching: Each hour missed results in 1 hour of paid private instruction, at $150 per hour.
Administrative Fees
Deposit: 20% of your full course fee. Required to secure your spot. Non-refundable / transferable.
Tuition: Due in full on the first day of class, minus any deposit paid.
- Private Tutoring for missed mentor coaching, supervised coaching, or if you miss more than one hour of class time: $150/hr, with the invoice to be paid prior to the private tutoring date.
Late payments: You will receive a reminder if your credit card is denied. Our learning hub will try your card again after four days. If your card is denied a second time, a late payment charge of $25 will be applied. An additional $25 charge will be applied if payment is not received after 30 from your first late payment charge.
After that period, if payment is not received, you will not be invited to continue the course materials, your access will be revoked, and you will not receive a certificate of completion.
Outstanding Certification Items
Once you complete the Coach Certification Program, you have exactly six months to complete all graduation requirements in order to receive your Certificate of Completion. (For example, If classes complete Oct. 21st. completion of graduation requirements starts Nov. 1st and all items would be due by the end of May 1st of the following year.)
Graduation requirements include
- Full participation: attendance and full engagement in each live class, including content-based classes, supervised coaching sessions, and mentor coaching. No more than one class hour may be missed without make-up classes assigned.
- Worksheets: turned in for each class throughout the Coach Certification Course as your written record of attendance for virtual courses. For in-person cohorts, completion of the self-study quizzes are required.
- Mentor Coaching: 10.5 hours of live mentor coaching with Awaken faculty. 7.5 hours shall be in a group of no more than 10 participants, and 3 hours shall be 1:1 with the mentor faculty of your choice. An additional 5 hours of homework in the form of coaching and self-assessment is required.
- Client feedback: feedback forms from a minimum of 2 clients and a minimum of 12 coaching hours, which may be paid or pro bono.
Program Withdrawals
If you are unable to complete your program, you may submit a written Withdrawal Statement to be eligible to move to a future cohort.
Refund Policy
Cancellation of a course must be made a minimum of 14 business days prior to the course to be eligible for a refund, minus the deposit. The deposit may be applied toward a future course within two years of the original course date.
Cancellations made less than 14 days before the course start date are not eligible for a refund.
Written notice of cancellation shall be effective on the date the withdrawal is received by Awaken Coach Institute. Refunds, if any, will be made within 30 days following receipt of cancellation or withdrawal requests.
In the event that Awaken Coaching, LLC must cancel a course, due to the COVID-19 pandemic or any other unforeseen circumstances, every effort will be made to place the student in a later offering of the course.
Registration Modifications
Modifications to registration, including substitutions of participants or transfer of course dates, must be completed at least fourteen days before the program start date. Participants may contact Awaken Coach Institute to modify their registration at communitycare@awakencoaching.com
Course changes will be allowed provided there are spaces available.
Grievance Policy
Awaken Coach Institute seeks to ensure equitable treatment of every person in our community. We encourage feedback and upgrades throughout every stage of our course, and we solve any grievances in a timely and fair manner.
Participants are in regular communication with faculty via WhatsApp, email, and other methods, and Awaken Coach Institute regularly invites feedback and suggestions for improvement throughout the course, both verbally and by requesting the completion of surveys.
Participants have the right to express their experiences regarding presentation or content, facility concerns, and faculty behavior. All grievances will be addressed to the best of our ability to improve our course and to delight the participants. A process for filing grievances can be found below:
- A participant shall first address their discomfort directly with the person with whom they have an issue. If participants are not comfortable approaching the individual, they can proceed to step 2.
- If participants are unable or unwilling to resolve the issue directly, participants are welcome to send an email to the Director of Training at any time. The Director of Training will review the issue and talk to the participant within one week of receiving the complaint, working with all parties involved to resolve the issue, and will request written confirmation from the participant that the issue has been resolved.
Additional Conditions
- Participation: Unethical and disrespectful behavior, including defamation, is not tolerated, either during and outside of class. We have the right, at our sole discretion, to suspend or cancel your enrollment in a program at any time, should you demonstrate unethical (breaching the Code of Ethics as set forth by the International Coaching Federation) or demonstrate disrespectful behavior to an instructor, coach or fellow classmate(s), without a refund, if the refund deadline has passed.
- Participation and Copyright: By participating in our programs you agree to respect all Trademarks, Copyrights and Confidentialities. All materials, manuals, content, recordings, videos, pictures and media are under Copyright © All Rights Reserved. Permission will be given to adapt marketing tools for your use on a tool-by-tool basis. Program content, processes, concepts, materials or techniques are not permitted to be used, sold, adapted, repackaged, altered or marketed for your coaching purposes.
- Certification: Participation and payment of tuition does not guarantee passing certification. A certificate is awarded by demonstrating standards as outlined in the graduation requirements, as required by the International Coaching Federation (ICF).
- Material and Content Warning: We are committed to providing quality materials through web based formats. While we select formats and companies to deliver these services that are reputable and reliable, we cannot guarantee that any materials, or services will be glitch free, or virus free. All use of our online services is at your own risk.
- Results: We are committed to teaching, mentoring and developing each student according to their goals. We cannot guarantee that any particular tool will work for you. You are responsible for your own results and implementing the tools, techniques and models presented as you see fit for your clients. The tools, techniques and models taught are not a substitute for your own discretion, independent judgments and life experience.

- Recorded Classes: We record our online classes. We wish to respect privacy and also need to use our trainings for multiple purposes, such as but not limited to, train-the-trainer, prospective student review, accreditation surveys and online classes. With shared recorded trainings no names will be linked to the recording beyond the instructor(s) name(s). You have the right to make a written request for any recording you participated in not be used for other purposes, other than accreditation audits.
- Accuracy: Our Institute believes all content provided is accurate upon sharing and posting. Offers, schedules, timelines and webpages are subject to change.
- Satisfaction: You are responsible for researching programs prior to enrollment. Enrollment and participation represents your commitment to your goals with us as your school of choice.
- Technology: Awaken Coach Institute contracts with reliable and reputable providers. However, we are not responsible for technological failures. We will take measures to ensure a seamless classroom and website experiences. If there is a technology issue, we thank you for your patience, and will work towards a remedy immediately.
Student Code of Conduct
Our aim is to provide a training that is comprehensive, empowering, and fun. We require our students to be aware of their actions and pledge to bring their best self into their program and into their coaching.
Awaken Coach Institute’s Responsibility:
- Provide ICF Level 1 & Level 2 training.
- Provide a structured, fun, mutually supportive and engaging learning environment.
- Ensure training standards are communicated, met and upheld.
- Be available to support the student process.
- Provide accurate and correct information on policies and procedures.
- Provide opportunities for each student to grow, stretch and receive individualized training and support.
- Provide coach training by credentialed coaches and provide high-caliber coaching resources.
Participant Responsibility:
- Bring your best self into the work and be on time.
- Be respectful of the group process, including other student’s and staff’s time, needs and feelings.
- Make up any missed work.
- Familiarize yourself with policies, procedures and requirements outlined in this document.
- Ask questions as they arise and for help whenever needed.
- Inform the trainers where you want the most help and support.
- Hold self accountable to complete professional goals and program assignments.
By signing my Participant Enrollment Agreement I acknowledge:
- Completion of all course work and passing of the Performance Evaluation does not guarantee certification. An instructor may have me complete additional studies or exercises to ensure my understanding and coaching skills are suitable.
- My program experience is my responsibility. If I’m unhappy about something, I will speak to my instructor and take action to remedy my problem.
- I’m entering into coach training to help other people reach their potential while I reach mine. I acknowledge the program may challenge me and I’m responsible for taking ownership and committing to giving my best. I acknowledge it is my responsibility to ask for help if I need it and to become an asset to the coaching profession.
- I am committed to providing coaching excellence in my attitude, behavior and professionalism. I am committed to adhering to the ICF Code of Ethics.
- I’m fully responsible for program tuition (attended or not), understanding withdrawal policies and any fees I accrue (see Fees).
“I release and forever discharge Awaken Coach Institute, its officers, directors, trustees, employees, agents, representatives and support personnel either employed or contracted with from all claims, liabilities and losses asserted by or on behalf of me for any and all injury, loss or damage resulting directly or indirectly from my participation in an activity of the Institute or the use of its equipment or facilities, rented or owned. I have carefully read, understand and voluntarily sign my Student Enrollment Agreement. This contract is effective and binding upon my signature and submission to Awaken Coach Institute.”
